Alejandra: the job comes in over WhatsApp

The assistant who answers at any hour, handles the client, captures the expense from a photo of the receipt, and leaves everything set in Konkret without anyone copying a thing.

The client who writes at eleven at night and gets no answer until Monday. The material receipt that stays in a wallet and never gets recorded. The "tell him yes" that takes two hours to reach the supplier because whoever had to forward it was out on site.

None of these get solved with more discipline. They get solved when what comes in over WhatsApp stops depending on someone being free to copy it somewhere else.

That is Alejandra: the WhatsApp assistant who, at Grupo Galarza, handles clients 24/7 and acts as secretary to the administrator. She is not a fixed-reply chatbot — she reads the conversation, uses the tools she has, and leaves the result inside Konkret, the system we run the operation on. She runs in production and answers from our usual number.

On the client's side

Alejandra answers at any hour, in Spanish, in short WhatsApp messages rather than email-length paragraphs.

  • She orients with real numbers. When someone asks what a job costs, Alejandra works out on her own which concepts apply and gives a single total range, drawn from the catalog of more than 700 construction concepts with reference pricing for Cancún and Quintana Roo. She never gives a final quote: the team does that after a site visit.
  • She does not confirm appointments. She takes the client's preference — "Tuesday at 10" — and replies that the team will confirm availability. A person closes the calendar, not her.
  • She detects and qualifies the lead on her own. From an ordinary conversation she pulls who they are, what they need and what was agreed, and records it with nobody entering it by hand.
  • She knows the manuals, she does not invent them. The practice's technical manuals are loaded in, and she answers from them when the question calls for it; if she does not have the fact, she says so and passes it to the team.

On the team's side

For the administrator, Alejandra is a secretary you talk to the way you would talk to a person — short, no formalities. She drafts, executes and confirms in one line.

  • To-dos and reminders. "Add: call Juan", "remind me Tuesday at 9 to review the contract". Reminders also go into the admin's Google Calendar when it is connected, and she checks the agenda before proposing times.
  • Messages and files to clients. "Tell the client they're coming tomorrow" → she writes it formally and sends it. A forwarded file goes out with its own cover message.
  • Expenses from a photo of the receipt. The foreman photographs the receipt and Alejandra reads the vendor, amount, date and category, classifies it — expense, deposit or client payment — and ties it to the right work front. Before saving, she always asks which job it belongs to: when in doubt, she does not record it.
  • Batch sessions. "I'm going to send progress from Bosques" or "here come receipts from Jardines" opens a session: every photo that follows is saved to that job without asking about each one, until the admin says "done".
  • Documents over WhatsApp. She sends the PDF of a receipt, a budget or a request for quotation just by being given the folio. And she generates the formal receipt — client or third party — from an already-recorded expense, without opening a computer.
  • Job sheet. "Where is Jardines?", "send me the plans for X", "give me Alejandro's card". Alejandra reports and forwards what the team loaded into Konkret — location, contacts, plans, contract — and never invents a fact that is not there.
  • Material requisitions. "I need 10 bags of cement and 200 blocks for Jardines" becomes a requisition with its list, visible in Konkret.
  • Website portfolio. She analyzes a job's progress photos, picks the best ones by stage and publishes the project to the public portfolio — no client name, no address, no amounts.
  • Site log. "How is job X going?" returns the chronological progress report Konkret assembles by cross-referencing scope, schedule, photos and expenses.

Prospecting and suppliers

  • She finds contacts on Google Maps. "Find hardware stores in Cancún" returns up to ten businesses with phone, address and rating, and saves them as prospects in the CRM.
  • She quotes and pitches by approved template. She can send a request for quotation to several suppliers at once, or a commercial offer to potential clients, always tied — where it applies — to the right job.
  • She talks to the supplier and passes you what matters. During a quotation, Alejandra holds the conversation with the supplier: she handles the courtesy herself and escalates anything substantive — prices, bank details, logistics, purchasing decisions — for you to answer. She never transfers money: she only forwards details and proofs of payment.

How it connects to Konkret

Alejandra and Konkret share the same database. What she captures over WhatsApp — the lead, the expense, the progress photo, the requisition — shows up in Konkret without anyone copying it, and what the team loads into Konkret — the job sheet, the documents, the budget — is what Alejandra reads to answer. One system with two doors: the conversation and the screen.

How proven each part is

We say it before the demo, not after.

Alejandra runs in production and answers every day. Client handling, expenses by photo, batch sessions, reminders and document sending are what we use. The nightly automatic site log is turned off on purpose — it is generated on demand — and manual search and part of the prospecting have the mileage of one house, not an industrial park. Anyone using her from outside will be among the first, and will know it from day one.
